Alex Correa Executive is committed to respecting the privacy of personal information about individuals, our clients, and other members of the public. This Privacy Policy outlines how we collect, use, disclose, store and manage personal information in accordance with applicable privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).


This policy applies to personal information we collect about:

  • candidates and jobseekers
  • client contacts and hiring organisations
  • referees
  • suppliers, contractors and other individuals who interact with us


“Personal information” has the meaning given in the Privacy Act and includes information that identifies an individual or could reasonably identify them.

1. Collection of personal information

We generally collect personal information directly from you, including when you:

  • contact us by phone, email or in person
  • meet with our consultants for an interview or discussion
  • submit a CV, application or expression of interest
  • interact with us via our website, advertisements, forms or social channels


The types of personal information we may collect include:

  • name, contact details and location
  • current and previous employment details
  • education and qualifications
  • work history, skills and experience
  • professional memberships
  • referee details and references
  • role preferences, salary expectations and availability
  • notes from interviews or discussions with our consultants
  • other information relevant to recruitment and career management


We collect personal information to carry out our functions as an employment and recruitment firm, including to:

  • assess suitability for roles
  • connect candidates with suitable opportunities
  • assist clients in sourcing and hiring talent
  • provide related services such as onboarding support, testing and due diligence


If you do not provide personal information we request, we may not be able to provide our services fully or progress you for certain opportunities.


Collection from third parties and public sources

In some circumstances, we may also collect personal information from third parties or publicly available sources. This may include:

  • publicly available professional profiles (e.g. LinkedIn)
  • referrals from a mutual connection
  • client contacts, prior hiring managers or industry sources
  • background screening providers (where relevant and authorised)


This may be necessary to verify information you have provided or to assess suitability for opportunities consistent with our recruitment services.

2. Unsolicited information

At times we may receive personal information we did not request (for example, an unexpected email with attachments). Where this occurs, we will determine whether we could have collected the information under the Privacy Act.


If we determine we could not have collected it, we will delete or destroy it (where lawful and reasonable to do so).


3. Use and disclosure of personal information

We may use and disclose personal information we have collected for purposes including:

  • providing recruitment and employment services to candidates and clients
  • assessing candidate suitability and shortlisting
  • presenting candidates to clients for potential opportunities
  • managing reference checking and verification processes
  • facilitating testing or assessments requested by clients (where applicable)
  • supporting career management, training and professional development
  • conducting due diligence requested by clients
  • coordinating workplace rehabilitation or return-to-work processes where relevant
  • responding to legal requests and regulatory obligations

We may disclose personal information to third parties including:

  • our client organisations or prospective employers
  • your nominated referees
  • service providers engaged to support our operations (see Section 7)
  • government agencies, regulators or law enforcement bodies where required or authorised by law


Candidate consent before referral

We will take reasonable steps to obtain your consent before we present your personal information to a client for a specific opportunity. This may be done verbally or in writing, depending on the circumstances.


4. Sensitive information

In some circumstances, we may collect sensitive information where it is relevant to recruitment, employability or employment requirements. This may include:

  • health or medical information
  • criminal history information
  • information about workplace incidents or reasons for termination

We will only collect sensitive information where it is reasonably necessary and generally only with your consent, unless we are permitted or required to do so by law.


5. Website information, cookies and analytics

If you visit www.alexcorreaexecutive.com.au to browse, read or download information, our systems may record certain information such as:

  • date and time of your visit
  • pages accessed
  • information downloaded
  • browser and device information (where applicable)


This information is used for statistical reporting, website administration and improving user experience.

Cookies

Our website may use “cookies”, which are small text files transferred to your device for record-keeping purposes. You can manage cookies through your browser settings, including blocking or deleting cookies. Please note that parts of our website may not function properly if cookies are disabled.


Online security

6. Social media and email lists

Alex Correa Executive uses social networking platforms such as LinkedIn, Facebook, Instagram, X (Twitter) and YouTube as communication and networking tools. Where we interact with you through these platforms, we may collect personal information to assist in communicating with you. These platforms also collect information independently and are governed by their own privacy policies.


Email communications and marketing

If you subscribe to our email list, we may use your information to send newsletters, market updates and relevant recruitment communications. You may opt out at any time by using the unsubscribe option in the communication or contacting us directly.

We will take reasonable steps to ensure electronic marketing communications include a functional unsubscribe facility and that opt-out requests are actioned promptly, in line with applicable Australian laws (including the Spam Act 2003 (Cth)).


7. Storage and security of personal information

We take reasonable steps to protect personal information (whether stored electronically or in hard copy) from misuse, loss, unauthorised access, modification or disclosure.

We may store personal information in systems and databases managed by us or by trusted third-party service providers.


Retention and disposal

We keep personal information only for as long as it is reasonably necessary for our functions, or as required by law. We destroy or de-identify personal information securely when it is no longer required.


8. Disclosure to contracted service suppliers

From time to time, we may outsource services to contracted service suppliers (CSPs) who support our business operations. In providing these services, CSPs may have access to limited personal information.

Examples include:

  • software and technology providers
  • IT contractors and internet service providers
  • professional advisers (legal, accounting, insurance)
  • background checking and screening providers

We take reasonable steps to ensure CSPs are bound by obligations to protect personal information, including through contractual safeguards.


9. Overseas disclosures

Some of our service providers (including software and cloud technology providers) may store or process personal information outside Australia.

Where we disclose personal information overseas, we take reasonable steps to ensure the recipient handles personal information in a manner consistent with Australian privacy requirements, as required under the Privacy Act.


10. Accessing and updating personal information

You may request access to personal information we hold about you, and request corrections where the information is inaccurate, incomplete or out-of-date.

We may refuse access in certain circumstances permitted under the Privacy Act, including where it would unreasonably impact the privacy of others or where the information is evaluative and obtained confidentially in the course of reference checking.

To request access or correction, please contact our Privacy Officer using the details in Section 13.


11. Data breaches

We take data security seriously. If a data breach occurs that is likely to result in serious harm, we will take steps to comply with the Notifiable Data Breaches (NDB) scheme, including notifying affected individuals and the Office of the Australian Information Commissioner (OAIC) where required.


12. Complaints

If you have a complaint about how we have handled your personal information, please contact us in writing using the details below. We will acknowledge your complaint and respond within 30 days of receiving it.


If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC).
